New Computer Setup Guide

Introduction

The purpose of this webpage is to provide immediate setup guidance after a computer has been imaged by SoE IT. The intent is to empower our users with basic knowledge to complete most, if not all, of the setup when opting to use this webpage.

SoE IT will ensure the post-deployment setup is complete before closing out any ticket.

Outlook

Stanford email and calendar can be accessed from any device by going to the following URL: webmail.stanford.edu. If you prefer the Outlook application interface, follow the setup directions below.

Windows

  • In the Search Box (Win key + F), type Outlook and hit enter.


  • Type in your Stanford credentials when the pop-up redirects to Stanford webauth page.


  • Once your account has been successfully added, uncheck Set up Outlook Mobile on my phone, too and click Done below it.


  • Another window will pop-up to set up Office, click Sign in.

  • To activate Office, type your SUNetID@stanford.edu on the next screen.

  • Select Work or school account.


Mac

  • In the Spotlight Search (cmd+space), type Outlook and hit enter.

  • Click Get Started.


  • To activate your Office license, click Sign In.



  • Select Work or school account.


  • Type in your Stanford credentials when the pop-up redirects to Stanford webauth page.


  • You're all set - click Start Using Outlook.


CrashPlan

University IT provides a centrally managed, automatic desktop backup solution available as a service to the Stanford community.

  • Note: Setup for faculty and staff only

Windows/Mac

  • Win: In the Search Box (Win key + F), type CrashPlan and hit enter.

  • Mac: In the Spotlight Search (cmd+space), type CrashPlan and hit enter.

  • A CrashPlan window should appear and prompt for your Stanford username.

  • Enter your SUNetID@stanford.edu.

Note:

  • If you receive an error message, a CrashPlan account needs to be created for you in the console and SoE IT can assist with this.

  • If prompted for server address, type clients.us2.crashplan.com.

  • Type in your Stanford credentials when the pop-up redirects to Stanford webauth page.


  • On the next screen, you will see the “Signing in…” with a checkmark icon. Please be patient as CrashPlan is creating a backup for this device.


  • CrashPlan is now beginning the initial backup of your computer.

    • Note: Once complete, CrashPlan will only back up change you make to your files which helps save on bandwidth usage.


  • **MACS ONLY**

Full disk access needs to be enabled to backup all data. For directions, please refer to the following webpage: soe-crashplan-fda.stanford.edu.


Cardinal Key

Stanford is going passwordless! Cardinal Keys reduce or eliminate the need to use your SUNet ID and password for web-based logins and eliminate the need to use your username, password, and two-step authentication for VPN connections.

CONFIGURE AUTOMATICALLY (WINDOWS AND MACOS)

Network File Share

Some departments choose to host their data on a server managed by SoE IT. To connect, follow the directions below.

Google Drive

You can use Google Drive File Stream to stream My Drive and Shared drives files directly from the cloud. This desktop application allows you to open and edit most document types directly out of Drive File Stream without having to download the file onto your computer. When you make edits to the file, the changes are automatically saved in My Drive.

Windows/Mac

  • Win: Open Drive File stream from the taskbar on the lower right of your screen (click ^ to show hidden icons).

    • If you're unable to locate the icon, use Search Box (Win key + F) to open it.

  • Mac: Open Drive File Stream from the menu bar at the top right of your screen.

    • If you're unable to locate the icon, use Spotlight Search (cmd+opt) to open it.

  • This window should then appear. Click Sign In.


  • Type in your Stanford credentials when the pop-up redirects to Stanford webauth page.


  • Once successfully logged in, a new window will appear with a brief introduction to Google Drive File Stream.


Windows

    • A Windows Explorer windows should open to your Google Drive.

    • The drive should mount automatically and you can access Google Drive under Quick access or from your desktop icon.

Mac

    • A finder window should open to your Google Drive.

    • The drive should mount automatically and you can access Google Drive under Locations or from the desktop icon.

Slack

Slack is a tool that enhances work group communications. It provides a platform for individual and groups to chat live online and keep conversations organized and accessible from anywhere, anytime.

Windows/Mac

  • Win: In the Search Box (Win key + F), type Slack and hit enter.

  • Mac: In the Spotlight Search (cmd + space), type Slack and hit enter.

Click Sign In and your browser will open.


In the blank field, enter stanford and hit Continue.


Click Sign In with Stanford.


  • Type in your Stanford credentials when redirected to Stanford webauth page.


  • If you see a Workspace screen, click Launch in Slack to open this workspace in the Slack app.

  • You'll be redirected to the Slack app and signed in.


Configure Canon MFD Printer

SoE IT has 27 Canon MFD (multifunctional device) printers setup within select SoE IT supported buildings. Printers can be added two ways: direct and/or secure.

Direct printing is more traditional as your print job immediately prints to the specified network printer.

Secure printing allows you to access your print job from any of the Canon MFD printers with your University badge. Once you physically badge in at a printer, you can access and manage your print jobs.

Device Enrollment

Complete a simple enrollment process to ensure devices that can access Stanford data are only used by identified people.

The device enrollment process gathers basic information about your device and how you use it via a brief questionnaire. Enrollment associates a device with the person who is responsible for its data security in MyDevices.

ERA Specific

  1. Add ERA Calendar (instructions below)

  • Windows - Outlook

      1. Navigate to Calendars

      2. Right-click Shared Calendars on left-hand side

      3. Select Add Calendar

      4. Select Open Shared Calendar

      5. Search for soedoera

      6. Multiple options may appear, select the one associated with soedoera@stanford.edu and click OK

  • Mac - Outlook

    1. Navigate to Calendars

    2. Select Open Shared Calendar

    3. Search for soedoera

    4. Multiple options may appear, select the one associated with soedoera@stanford.edu and click OK
